Initial setup in Jira

Config summary

Here's what you will have after completing this guideline:

  • A new project role;

  • A new single select custom field; 

  • A new user picker custom field; 

  • A new multi-line text custom field;

  • A new issue type.

Required permissions

Requires either Jira System Administrators or Jira Administrators global permission. If you don't have such privileges, ask your Jira administrator for help.

Creating the "Managers" project role

  1. Go to Jira administration > System > Security > Project roles. 

  2. Under 'Add Project Role' add the "Managers" name for the new role. The description may be left empty. Then, click on the 'Add Project Role' button.

Creating the "Absence Type" custom field (Single Choice Select List)

  1. Navigate to Jira administration > Issues > Custom fields.

  2. Click the 'Add custom field' button in the upper right. 

  3. Find the 'Select List (single choice)' custom field template on a list. You may use the search field to make it easier. Then, click 'Next.  

  4. Give your custom field the "Absence Type" name and populate it (in the exact order) with the following options:
    Holiday, Leave at request, Sick leave, Maternity leave and Other reason.

    The description field may be left empty. Finally, click 'Create'. 

  5. On the next screen proceed without making any associations to project screens. To do that, make sure all boxes are unchecked, scroll down to the very bottom, and click 'Update'. 

     

Creating the "Manager/Approver" custom field (User Picker)

  1. Navigate to Jira administration > Issues > Custom fields.

  2. Click the 'Add custom field' button in the upper right. 

  3. Find the 'User Picker (single user)' custom field template on a list. You may use the search field to make it easier. Then, click 'Next.

  4. Give your custom field the "Manager/Approver" name and click 'Create'. The description field may be left empty. 

  5. On the next screen proceed without making any associations to project screens. To do that, make sure all boxes are unchecked, scroll down to the very bottom, and click 'Update'.

  6. Stay on the 'Custom fields' screen and search for the newly created "Manager/Approver" field. Once found, click on the cog wheel icon under 'Actions' and select 'Configure'. 

  7. Click the 'Edit User Filtering' option to narrow down the list of possible selections for the field. 

  8. Check the 'Enable group or project role filtering' box. 

  9. For 'Add filters' select Project Role > Managers and click 'Add'. 

  10. Save changes.

Creating the "Reason/Comment" custom field (Multi-line Text Field)

  1. Navigate to Jira administration > Issues > Custom fields.

  2. Click the 'Add custom field' button in the upper right.

  3. Find the 'Text Field (multi-line)' custom field template on a list. You may use the search field to make it easier. Then, click 'Next.

  4. Give your custom field the "Reason/Comment" name and click 'Create'. The description field may be left empty. 

  5. On the next screen proceed without making any associations to project screens. To do that, make sure all boxes are unchecked, scroll down to the very bottom, and click 'Update'.

Creating the "Absence Request" issue type

  1. Navigate to Jira administration > Issues > Issue types.

  2. Click the 'Add issue type' button in the upper right.

  3. Give your issue type "Absence Request" name, make sure the 'Standard Issue Type' radio button is selected, and click 'Add'. The description field may be left empty.
