Manage Workflow Parameters

Use this option in the page tools menu to update the values of workflow parameters for the applied page workflow.

This option is displayed when

there is no active space workflow in the space
a page workflow that includes one or more workflow parameters is applied to the page

The Content Expiry and the Quality Management System workflow in the app include one or more workflow parameters. The Manage Workflow Parameters option is displayed when adding one of these workflows as a page workflow.

Using the Manage Workflow Parameters option

Add a workflow to a page as a page workflow:

choose Manage Workflow Parameters

In the Parameters dialog box

edit the parameter(s) value(s) for the applied workflow

The current value for the parameter is displayed.

Save

The change in value is confirmed in an on-screen message.

The page workflow retrieves and uses the updated parameter value when a workflow event occurs. The value is not changed if it is used in the current workflow state.

For a Content Expiry Workflow applied to the page, the Parameters dialog box displays the option to edit the Expiration parameter value used by the workflow to set the due date period for the Approved state during the workflow transition to this state.

The updated parameter value for the expiry period is used on the next transition into the Approved state. The current expiry is not changed if the page is currently in the Approved state.

The Quality Management System workflow includes two workflow parameters used by the workflow to assign users as reviewers for approvals. When this workflow is applied to the page, the Parameters dialog box lets you edit the values for both of these page parameters:

The updated parameter values for the reviewers are used on the subsequent transition into the workflow states with the approval.

For a custom workflow applied to the page, Page Parameters displays the option to edit the values for the workflow parameters defined by the workflow.

As a space administrator, you can manage the workflow parameter values for an active space workflow in the Actions options in the app space settings. The updated parameter value is only used when the workflow is applied as a space workflow. The value is retrieved by the active space workflow when a workflow event occurs, such as the creation of a new page.
