Workflows available to add to your documents are:
Workflow components
States and transitions
Content Reviews
Workflow Triggers
Workflow triggers can be used to add flexibility to your workflow. On a workflow event, a workflow trigger can change a workflow state, send a custom email, or add a custom on-screen message notification for your users.
Workflow triggers must be written in JSON code and added to the custom workflow using either the visual builder or code editor. Examples of the use of a trigger include:
Workflow Parameters
Workflow parameters can be added to a custom workflow using the visual editor. These can be configured to use different data types for the parameter value.
Workflow templates
The app space settings screen displays the workflows available in a space. All spaces include three bundled workflows.
Additional custom workflows can be added to each space.
Workflows included with app
The following workflows are included as templates in the app space settings in all your spaces:
These workflows cannot be overwritten. A copy can be created and customized.
Custom workflows
A workflow customized to your documentation management needs can be created in a space. The quickest way is to use the Create New Workflow option in the document management space settings in a space.
Using Create New Workflow lets you edit a basic two-state starter workflow using the workflow builder visual editor.
You can use the workflow builder visual editor to add one or more additional states, add and edit transitions from one state to another, and add approvals.
Saving the new workflow adds it to the app space settings. You can make it active in the space, which applies it to all the pages.
A custom workflow can also be created by duplicating an existing workflow in the app space settings and editing the copy.
Onboarding workflows (custom workflows)
The app offers several custom workflows to explore. Each workflow can be added to a space and applied using the Onboarding screen.
Once added to a space, the workflow can be edited in that space.
