We're excited to partially introduce the latest improvements to the Share view functionality to enhance your BigPicture experience. This change is currently being tested with a select group of users to gather feedback and ensure the best possible user experience. This means some users will see the new feature while others will continue with the existing experience.

Share view

The Share view functionality in BigPicture allows users to share their current view of any module, such as selected column views or layout modes, with others via an automatically generated URL.

The latest improvements allow Box viewers, Box editors, App admins, and Box admins to save a private column view before sharing. Additionally, App admins and Box admins can now define permissions for team members who will access the shared view.

Box viewer/Box editor

Box viewers and Box editors can now save a private column view before sharing.

If you are a Box viewer or a Box editor and want to share your view with others:

1. Go to the module you want to share the view from.

2. Click the Share view button.

3. If you’re using the default column view, click the Copy link button and share the link with others.

4. If you’re using the private column view, you will be asked to save the view before sharing. Otherwise, people who access the shared view will see the default column view.

   1. To proceed with the default column view, click the Copy link button and share the link with others.

   2. To share the private view, click Save.

   3. Complete the details and click Save.

   4. The view is now public. Click the Copy link button and share the link with others.

App admin/Box admin

App admins and Box admins can now save a private column view before sharing it, and define permissions for team members who will access the shared view.

If you are an App admin or a Box admin and want to share your view with others:

1. Go to the module you want to share the view from.

2. Click the Share view button.

3. If you’re using the default column view, specify permissions for team members who will access the shared view.

   1. Click the plus + icon to add a new team member.

   2. Select a user from the drop-down menu.

   3. Choose the Box viewer or Box editor permission role.

   4. To confirm, click the plus + icon.

   5. When ready, click the Copy link button and share the link with others.

4. If you’re using the private column view, you will be asked to save the view before sharing. Otherwise, people who access the shared view will see the default column view.

   1. To share the private view, click Save.

   2. Provide the Name and Description. The Visibility field is automatically set to public.

   3. Click Save.

   4. The view is saved and public now. If needed, set permissions for team members who will access the shared view.

      1. Click the plus + icon to add a new team member.

      2. Select a user from the drop-down menu.

      3. Choose the Box viewer or Box editor permission role.

      4. To confirm, click the plus + icon.

      5. When ready, click the Copy link button and share the link with others.
