Snapshot Collection

Overview

A snapshot collection is a repository of snapshot documents.

A collection can be created in a space or linked to a space by a space administrator. Once a collection is added or linked to a space, snapshot documents can be created and added to the collection from the source space documents.

Collections added or linked to a space are managed by the space administrator.

Collections across the instance are viewed using the collections global viewer in the Confluence header menu.

To create and manage collections the space administrator must be a member of the user group added to Snapshot Publishers in the app global configuration

Snapshot collection

A snapshot collection is a curated group of snapshot documents.

A collection can include one or more

  • snapshots included in other collections

  • snapshots from different spaces across an instance

Use

A collection is used to organize and share snapshots of Confluence pages with the right people, while maintaining control over who can access and edit the information.

A snapshot document can be added to multiple collections if the same information needs to be distributed to several different groups of users.

Likewise, teams can contribute their content to a collection from their own spaces.

Collections, for example, can be used as a manual or a guide for users, where these users do not need access to the draft content space.

Viewing collections

The collections global viewer is accessed from the Confluence header menu bar.

 

Collection users

The collection manager is the space administrator who created the collection. The collection manager configures the collection permissions to manage the Confluence users and user groups who

The collection manager must be a space administrator and be a member of the user group added to Snapshot Publishers in the app global configuration.

Creating a collection

A collection can be created by a space administrator in any space that is enabled for snapshot publishing using the space tools snapshot publishing dashboard.

A space enabled for snapshot publishing creates a default collection for the space. This collection name is the spacekey for the space.

To create a new collection in the space

  • choose the Add Collection button

And add the following details for the collection

  • name

  • description

  • Confluence users and user groups who can view the collection

  • Confluence users and usergroups who can contribute snapshots to the collection

The collection is added to the snapshot publishing dashboard in the current space.

On a Confluence document in the space, the added collection will be available as a collection option in the snapshot publishing popup to add a snapshot document.

Managing collections in a space

A space administrator manages collections that are linked to a space using the space snapshot publishing dashboard.

A space administrator can

  • link a collection from another space using the Link Collection dropdown menu to select the collection

  • manage existing collections added to a space using the ellipsis menu option for each collection

  • manage the snapshots added to each collection using the ellipsis menu option for each collection

Linking a collection created in another space allows users in the current space to add snapshots from the space to that collection

The ellipsis menu option for each collection is used to manage an existing collection in the space

  • Edit to change the collection settings - name, description, viewers, and contributors

  • Remove to delete collection (deletes the collection from the instance and it will no longer be accessible)

  • Unlink to unlink the collection from the current space (no additional snapshots can be added to the collection from this space)

Viewing collections

Collections and the snapshot documents added to each collection are viewed using the Collections global viewer in the Confluence header menu bar.

For the current user, the viewer is displayed in the My Collections sidebar the collections

Choosing a collection displays the snapshots in the collection.

The viewer displays the selected snapshot document
