Configuration

Introduction

Once you install BigTemplate, you can discover a list of pre-defined templates available in Jira Administration > Manage apps > BigTemplate configuration > Templates.

Depending on where you will use your templates, there are two different labels:

  • GANTT is used to export data from the Gantt module in BigPicture.

  • WIDGET is used to export data directly from Jira issues. All templates created with the Widget label are visible on the Jira issue page.

BigTemplate configuration

There are three locations where you can access and configure your templates.

  • Jira Administration > Manage apps > BigTemplate configuration > Templates. Only Jira administrators can access this page.

  • For cloud instances: Jira project > Project settings > BigTemplate > Templates. Only Jira administrators can access this page.

  • BigPicture/BigGantt > Box configuration > General > Exporting. Jira administrators and Box administrators can access and manage the Gantt templates.

Templates management

You can perform the following actions on your Gantt and Widget templates:

  • Add new templates

  • Add existing templates (only for templates used in BigPicture/BigGantt)

  • Edit existing templates

  • Delete templates

  • Restore pre-installed templates

Add new templates

As presented above, adding new templates from a few locations is possible.

The supported file formats for Widget templates are *.csv, *.docx, *.doc, *.xlsx, *.xls, *.odt.

The supported file formats for Gantt templates are *.csv, *.xlsx, *.xls, *.odt.

To add a new template:

  1. Go to Jira Administration > Manage apps > BigTemplate configuration > Templates.

  2. Click on the Upload template button in the top right corner.

  3. Complete the following fields:

    1. Module visibility - define if your template will be used to export data from the Gantt module in BigPicture (Gantt) or to export data from Jira issues (Widget).

    2. Template name - complete a name for your template.

    3. Description - provide additional information about your template.

  4. Attach a file.

  5. Check the Set as global template if you want the template to be visible globally.

  6. When ready, click Upload.

When you set a template as global, a Gantt template will be added to the Box configuration in BigPicture / BigGantt, while a Widget template will be visible on the Jira issue page. Gantt templates not marked as global can be added anytime using the Add existing template option.

Adding *.mpp and *.mpx file templates is currently impossible. The status of implementing this function is available in the related support ticket.

Add existing templates

The Add existing template option allows you to:

  • Add templates available in the BigTemplate configuration section but not assigned to a specific box yet.

  • Add templates that you previously excluded from the list of templates for a particular box and that you want back here. 

Edit existing templates

To change existing templates:

  1. Go to Jira Administration > Manage apps > BigTemplate configuration > Templates.

  2. Click Edit next to a template.

  3. Modify a template.

  4. When ready, click Save.

Delete templates

To delete a template:

  1. Go to Jira Administration > Manage apps > BigTemplate configuration > Templates.

  2. Click Delete next to a template.

  3. Once you confirm, a template is deleted permanently.

You can also exclude a Gantt template from the Box configuration, but remember that it will only be removed from the list of templates for this particular box.

Restore pre-installed templates

To restore pre-installed templates:

  1. Go to Jira Administration > Manage apps > BigTemplate configuration > Templates.

  2. Expand the More actions … menu.

  3. Click Restore pre-installed templates.

  4. Once you confirm, all pre-installed templates are restored.

This action does not delete any of your existing templates.
