Installing and configuring Comala Document Management

Install Comala Document Management to your instance from the Atlassian Marketplace accessed from the global administration Manage apps screen.

You will need to purchase a license through the Atlassian Marketplace or activate a free trial.

On installation, the app is configured by default, for use across all spaces in your instance with a number of workflow templates that are available to use in the instance.

Global administrator role

The global administrator

  • manages the workflow templates available across the instance

  • sets the spaces in which Comala Document Management can be used

  • adds the Confluence user group whose members who can import workflows into a space

  • sets the app behaviors for the workflows used in the instance, for example

    • notifications

    • workflow activity and draft state content visibility

The key user for managing and applying Comala Document Management to content is the space administrator. However, the global administrator is able to

Each space administrator can configure the app in their own space, choose the workflows that are applied, create and edit workflows, and override some of the global app configuration settings for their space and the page workflows available for a user to add to an individual page in the space.

Some of these settings can be overridden at space level, on a space-by-space basis – see: Configuration - Space Tools

You can also configure Security options. This includes the option to set the spaces where workflows can be applied or restricted.

Space administrator role

The space administrator

  • configures the workflow settings for the space

  • manages the workflows available in the space (both space workflows applied to all the content and page workflows available for editors to apply to individual pages)

  • manages what workflows are applied across the whole space content (space workflows)

  • can add, edit, and create workflows in the space

The space administrator is the key workflow user to add and apply workflows to your documents in a production space.

Space configuration

The document management Space Configuration screen allows space administrators to configure how various workflow features operate within their space.

The Internal Page Publishing Configuration settings only take effect when using same-space publishing. Space administrators can also configure the workflow Notifications for the space.
