Comala Document Management workflows

Comala Document Management has the choice of at least three installed workflows.

On installing the app these global workflow templates are enabled in the global workflows dashboard and are available

to space administrators to add to each of the spaces in your Confluence instance in the space settings Document Management dashboard
to add by an editor as a page workflow

A space administrator is able to

add and apply these workflows as a space workflow to all documents in a space using the space document Management dashboard
manage the workflows available for users to add to an individual page in the space Page Workflows Templates dashboard

Workflow template scope

Global scope

Global workflows in the global workflows dashboard are global in scope. These workflows can be copied and/or edited only by the global administrator in this dashboard.

A global workflow template is available to a space administrator to add to a space document document dashboard as a

non-editable workflow that is linked to the global workflows dashboard

The workflow is displayed in the document management dashboard as a global scope workflow. It is automatically enabled in teh space and cannot be disabled - it can only be removed from the space.

The workflow is displayed in the document management dashboard as a space scope workflow. It is added as disabled for the space. A space administrator enables the workflow application to content in the space using the grey slider option.

Space scope

Adding a copy of a global workflow template to a space changes to scope of the workflow to a space scope. A space scope workflow

is unique to the space
has no retained link to the source global workflow template
editable in the space
is added as disabled
applied to the space content when enabled by the space administrator

A space administrator can also copy an existing global scope workflow (or a space scope workflow) added to a space to create a space scope workflow editable in that space.

The Page Workflows Templates dashboard, by default, includes all enabled workflows in the global templates dashboard. A space administrator can disable these in the a space or add a new workflow including an editable space scope workflow.

Adding workflows to a space

Add one or more workflows to the space using

the Add Workflow button
the Global Workflows Template option

Each workflow added to the space document management dashboard can be edited (space scope workflow only), copied or removed in the current space workflow using the ellipsis menu options button.
