Simple Approval Workflow

The Simple Approval Workflow is one three workflows included with Comala Document Control.



This approval workflow consists of two states: Review; Rejected;  and Approved, and allows you to ensure that content is reviewed and signed off.

The workflow has a final state and automatically defines content as approved content (Approved state) or draft content (Review and Rejected states).

Workflow states

Review state

  • has a content review

  • one or more reviewers are assignable using the workflow popup

  • anyone (with edit permission) can undertake the review if no one is assigned

  • a reviewer can choose to disable the addition of a read confirmation on the transition to the Approved state

Rejected state

  • has a content review

  • one or more reviewers are assignable using the workflow popup

  • anyone (with edit permission) can undertake the review if no one is assigned

  • if the page or blog post is edited in the Rejected state, the content automatically transitions to the Review state when the change is saved

  • a reviewer can choose to disable the addition of a read confirmation on the transition to the Approved state

Approved state

  • is the workflow final state

  • no user transitions are available from this state

  • workflow displays confirmation that content has gone through an approval process

  • workflow popup includes the Activity report button linking to the page document activity report

  • if the page or blog post is edited in the Approved state the content automatically transitions to the Review state when the change is saved

  • users with View-only permissions are directed to view the latest approved version of the content

A due date can be set on the Approved state, when this expires the content automatically transitions to the Review state. If you require specific page expiry behavior, consider using the Content Expiry Workflow

Users with edit permission can undertake the approve or reject decision for each content review unless one or more users have been assigned as reviewers.
