Create tasks

Introduction

There are different ways in which you can create tasks in BigPicture. Besides monday items and subitems, you can also create basic tasks that are displayed only in BigPicture.

Create new tasks

Creating tasks looks exactly the same in the Gantt, Resources, and Calendar modules.

You can create:

  • monday items

  • basic tasks

monday items

To create a monday item:

  1. Click the Add task menu icon.

  2. Select Create task > Monday item.

  3. Provide a name.

  4. Complete the “Board” and “Group” fields.

  5. To keep the creation modal opened after creating the current task, check the Create another option.

  6. Click Create to confirm.

Basic tasks

Create a basic task and add it to the list of tasks. Such tasks will NOT be synchronized with monday or connected tools.

Create subtasks

You can easily create subtasks in the Gantt module.

BigPicture enables the creation of complex structures with multiple indents, creating parent task-subtask relations. Creating a subtask simplifies the process by creating a new item as a child of the selected item. You can do or reverse those structural changes anytime by doing an indent or outdent of the tasks in the Gantt module.

Subtasks can be:

  • monday items

  • monday subitems

  • basic tasks

To create a subtask:

  1. Select a task on the task list to which you want to create a subtask.

  2. Click the Add task menu icon.

  3. Select Create subtask > monday item, monday subitem, or basic task.

  4. Provide necessary information depending on the selected subtask type.

  5. Click Create to confirm.

monday subitems CANNOT be created if there is no other subitem in a monday board. You need to create a first subitem in monday to be able to create other subitems in BigPicture.

Create tasks and subtasks inline

You can quickly create new tasks and subtasks inline in the Gantt module without leaving the task tree.

If structure builder rules are active and you try to create a task in a particular spot in the task tree, a task can be moved according to existing structure builders.

You can check structure builder rules on the Box configuration > Tasks > Task structure page.

Structure builder rules can be manually broken. This means that when you create a new task, it is placed according to structure builders, but afterward, you can move it.

If structure builders don't apply, tasks will be created exactly where you have manually specified.

Create new tasks inline

Create new tasks (monday items, basic tasks) directly from the task tree. New tasks appear on the selected level in the hierarchy.

Create new subtasks inline

Create subtasks (monday items, monday subitems, basic tasks) directly under a task with children. Subtask is created when you click between a parent task and its first subtask.

Include existing tasks from a task source

You can add existing tasks to a box by adjusting its scope definition. Items that already exist in monday can be included in your box.

Go to Add task > Manage scope definition to make adjustments.

Next, select boards from the drop-down menu and click “Save”.

Empty box

When a box doesn't contain tasks, you can see the following splash screen:

Connect monday boards

This option lets you add existing tasks from a monday board.

  1. Click Connect monday.com boards.

  2. Define the scope by selecting a board or boards.

  3. To access advanced settings, click the Advanced options link.

  4. When ready, click Save.

Constraints

Portfolio boxes (none scope boxes)

You can’t add tasks to portfolio boxes (none scope boxes). The +Add task and inline create features are disabled.

To add new tasks:

  1. Go to the sub-box where you want to add new tasks. To find it faster, add the Sub-box column to the view.

  2. Add tasks at the sub-box level.

  3. Return to the portfolio box to see the updated view.

‘No access’ message

If you don’t have access to a board that is in the scope of the box (for example, a private or shareable board), you will see ‘No access’ message in the task structure. The order of tasks is retained even if you can’t access some tasks. To learn more, see the Task structure (WBS) page.
