Workflow notifications

Comala Document Control sends email notifications for the following events

  • a user who is assigned to an approval is displayed an on-screen message notification on viewing a page on which they have been assigned to a review.

The message includes details of the approval name and the user who manually assigned the reviewer.

  • for users viewing a page when reviewers have undertaken an approval decision

Content Expiry workflow notifications

For content with the Content Expiry workflow applied, when the Approved state expiry date is reached

  • the content state changes to Expired

  • an additional workflow email notification is sent to users who are watching the content

The email notifications come from no-reply@appfire.com.

This is not from the address that normally sends emails related to built-in Confluence functionality.

 The Approved state expiry also creates an on-page message notification.

The state expiry date is set using the value for the workflow parameter expiration defined and used by the Content Expiry workflow.

Quality Management Systems workflow notifications

For content with the Quality Management System workflow applied, users who are assigned to approve the content in the In Approval state receive a bespoke email notification.

The workflow reviewers for the In Approval state content review are

  • user(s) who are added as a value(s) for the workflow parameter @document_users_reviewers@

  • and/or users who are a member of the Confluence group(s) added as a value(s) for the workflow parameter @document_group_reviewers@
