Overview
A space administrator can publish all source space pages to a target space (space-publishing) in a single action using the Publishing space option in the space settings Publishing dashboard.
The Publish space option is only displayed if a target space has been configured and publishing is enabled in the space publishing dashboard.
Publishing does not include the space home page, blog posts, and archived pages.
The first time the source space is published to a target space
all the source pages are published
When you apply a Comala workflow in the source space, you can limit the space publishing action to pages in the workflow’s final state.
On a subsequent whole space publishing action, using the Publish space button
pages with a publishing status of New or Out of sync are published
pages with a Synced publishing status are not republished
This filtering of the synced pages reduces the time required to complete the whole publishing action.
The space administrator can also publish pages using the Publish pages option in the publishing report.
Publishing from the report can be filtered to publish
all the pages, irrespective of the publishing status
the pages that are not synced
Comala Publishing is designed to publish pages to an “empty” target space (except for the space homepage). Although a space with existing pages can be configured as a target space, setting a target space containing existing page titles that are the same as in the source space can cause publishing issues.
Publish a space
In space settings, the Publishing dashboard in the source space
scroll down to the Space publishing option
choose the Publish space button
You must add a target space using the Target space dropdown menu for space publishing to be active.
The space administrator can enable or prevent single-page publishing in a space to prevent page editors from publishing pages page-by-page.
Administrators can also configure if the publishing action includes copying the content properties for each page.
In the dialog box, choose Publish to confirm the publishing of all pages in the current space to the target space.
While space publishing occurs, all other user publishing (page and other space publishing actions) are inactive until the publishing is complete. However, a publishing action using a Comala Document Management workflow can still take place.
If the source space does not include any NEW pages to publish, OUT OF SYNC pages, or is empty
a No pages to publish warning message is displayed
The message can be shown on the initial space publishing of a space with a newly created single page due to the time required to update the space publishing information on the newly created page.
If the source space includes pages that are already published, any pages with a SYNCED status are not published
only unpublished pages (NEW publishing status) and pages that are OUT OF SYNC are published
the number of pages to publish is displayed in the dialog box
choose Publish to confirm the publishing of the pages
Copying content properties
By default, copying content properties when publishing a page is enabled for the space. A space administrator can choose to prevent copying of content properties for source space pages in the source space settings publishing dashboard.
Space publishing progress bar
A progress bar displays the progress of the space publishing process.
Once the space publishing process finishes, the progress bar will display confirmation that publishing is complete.
A summary report of the completed publishing for the space is displayed.
Choose Back to return to the space publishing dashboard.
The last publication details are added underneath the Publish Space button in Space publishing.
Choose See details to display the space publishing report.
Limiting space publishing to pages in the final state of an applied workflow
When a Comala workflow is active in the space, this option excludes pages not in the final state of the applied workflow from being published during a space publish action.
When active, pages in the final workflow state that are already synced are not published.
This setting does not affect the automatic publishing of a page when a page editor uses an applied workflow to transition to the final state.
Partially completed space publishing
A warning message is displayed in the progress bar if one or more source space pages are not successfully published during a whole space publish.
The last publication details are added to the space publishing dashboard, along with a Partially completed publishing warning and a summary of the number of pages published.
Choose the See details option to view the space publishing report that displays a list of the pages that failed to be published.
If the space administrator does not have view and edit permissions over a page in the source space, the page is not published to the target space.
The unpublished page with restrictions page is also not reported under the Pages that were not published listing in the space publishing job completed report because the view and edit permissions cause the page to be hidden from any publishing action for this space administrator.
Space publish error
If there is a problem completing the space publishing action, the following error message will be displayed.
Simply retry the publishing action at a later time.
For repeated problems with publishing your space, please open a ticket with our support team.
Space publish after initial whole space publish
After an initial whole space publish, only new and previously published pages that are currently out of sync are published using the Publish space option. The number of pages that are set to be published is displayed in the dialog box.
After space publishing is complete, the Space publishing details in the dashboard are updated with the Publish space action.
The details displayed are only for the most recent Publish space action. They do not display the total number of pages published in the space, as some pages may have been published in one or more previous Publish space actions or by the single-page publishing option.
Publishing pages from the publishing report
A space administrator can publish the source space pages displayed in the publishing report.
The report can be filtered to display
all the pages in the source space with any publishing status
ANY STATE report filter
any state not synced (New; Out of Sync publishing status)
state NOT SYNCED report filter
all the pages in an applied workflow final state and not synced
Final workflow state + Not Synced report filter
The filtered list is published in a single publishing action using the Publish pages option in the report.
Publishing using the report
Open the publishing report using the Confluence sidebar options
choose Apps>Comala Publishing
The Publish pages button publishes the pages currently displayed in the report table.
The number of pages to be published is displayed on the button.
The Publish pages option is only displayed for a space administrator.
For example, for a publishing report for a source space with the state NOT SYNCED applied that filters to two pages:
Only the two listed pages are published.
Choose Publish to confirm.
The space publishing report is displayed upon completion of the publishing action.
If the publishing report for a space has the Any state filter applied and five pages are displayed, all of the displayed pages are published.
This space publishing action from the publishing report publishes all the displayed pages, even if the publishing state is SYNCED. This is different from a Space publish action in the publishing dashboard, where only unsynced pages would be published.
Last publication byline
The Last Publication byline option is displayed in the report if at least one previous whole-space publish action was undertaken using the Space publish option in the space publishing dashboard or the Publish option in the publishing report.
Select the byline to view:
