User mapping

Mapping user accounts between Jira and Azure DevOps (ADO) is essential for ensuring accurate synchronization of user-related fields. With TFS4JIRA, you can map matching user accounts between Jira and ADO using the Map users automatically option or map the users manually.

  • Automated user mapping: TFS4JIRA can automatically map users based on matching display names or email addresses (either the full address or the prefix). TFS4JIRA automatically maps users between systems by matching display names or email addresses (full email or prefix). However, email visibility settings in Jira Cloud can impact this process. Users can Set their email visibility to Anyone enabling TFS4JIRA to use them for mapping. When email visibility is not set to Anyone, TFS4JIRA relies on display names for user mapping.
    If duplicate accounts are detected, the automated mapping will skip these duplicates, requiring manual mapping. This ensures that only unique, unmapped users are linked automatically while preserving existing manual mappings.

  • Manual user mapping: Manual mapping is useful when automated mapping is insufficient because the same user does not exist on both Jira and ADO or duplicate accounts are detected. For example, when the same user does not exist on both Jira and ADO, you can manually map a Jira user account to a different ADO user account. Manual mappings take precedence, so automated processes do not overwrite them.

After mapping users, you must set default values for any unmapped user accounts. This defines how TFS4JIRA responds during synchronization when it encounters unmapped user accounts.

If you don’t intend to synchronize any user fields, mapping users in this section is not required.

Map users automatically

 

  1. In the TFS4JIRA synchronizer, click Mapping for Sync Profile #
    The User Mapping for Sync Profile window opens.

  1. Click Map users automatically.
    Wait for the process to finish.

    The success message shows:
    The total number of users mapped successfully

    • The total number of Jira users submitted for mapping

    • The total number of ADO users submitted for mapping

You can see the newly mapped users under the New section of Mapped Users.

  1. Click Save.

  2. (Optional) If some users remain unmapped, follow the Map user's manual steps to map them.

  3. Follow the steps to Set default values.

Cancel automated user mapping

When you’ve already started automated user mapping, you can click Cancel to stop the process. This action will only cancel automated mappings—any manual mappings you’ve configured will remain unchanged.

Map users manually

  1. Click Mapping for Sync Profile # to open the Mapping for Sync Profile page.

  2. Select usernames for mapping:

  • Click the Jira field and select a username from the list, or enter a username in the field and select the name when it appears.

  • Click the Azure field and find a username, or enter a username in the field and select the name when it appears.

  1. Click Add mapping to add new users to the list of mapped users.

  2. Click Save.

  3. Follow the steps to Set default values.

  4. Click the Close icon X in the top left corner to return to the main Users page.

Set default values

Set how TFS4JIRA responds during synchronization when it encounters an unmapped item.

  • Skip - When TFS4JIRA encounters an unmapped user, it skips over it and continues to the next item.

  • Raise Error - When TFS4JIRA encounters an unmapped user, it is recognized as an error. You can review the error in the sync log.

  • Set User - When TFS4JIRA encounters an unmapped user, it maps the item to a specific user.

  1. Click the Jira field and select Skip, Raise Error, or Set Item from the list of options. If you select Set User, click in the field and select a user name, or type to search for a user and select it when it appears.

  2. Click the Azure field and select Skip, Raise Error, or Set Item from the list of options. If you select Set User, click in the field and select a user name, or type to search for a user and select it when it appears.

  3. Click Save and continue to move to the Workflows page.
