Assigning reviewers

Overview

Users can be manually assigned, reassigned, and unassigned in a content review as reviewers.

  • the content review must allow the manual assignment of reviewers

  • the user assigning a reviewer has edit permission for the page

A content review can also be configured to limit the users who can assign reviewers.

Reviewers can also be

  • assigned automatically by the workflow

  • limited by the workflow

Limiting who can assign reviewers via workflow approval settings helps manage permissions, ensures oversight, and maintains review process integrity.

How do I know if I can manually assign reviewers?

A content review in the workflow must be configured to be assignable and the assignor must have at least edit permission for the page or blog post.

In a state with a content review, look for the + Add reviewer button next to the Approve and Reject buttons

If reviewers are already assigned, the add reviewers option is simply a “+” symbol.

The option to manually assign reviewers using the workflow popup is only displayed if the named approval (content review) is configured as assignable in the workflow

Assigning reviewers

Click the + Add Reviewer button on the workflow popup – you will be presented with a search screen like the one shown below.

Searching

You can search by full name, username, or email address.

You'll usually need to type two or more characters before the results appear.

Assigning

When you've found who you're looking for, click the grey button on the right to assign them to the review.

If you need to leave a note for reviewers, click the Add a note link and enter your note. They'll see it in notifications and emails.

Saving changes

  • click the blue Assign button in the dialog box to save the reviewer assignments

The assignee avatars are displayed on the workflow popup

Comala Document Management suggests users specified in the user, group, selectedapprover or selectedapprovers parameter on the approval macro. If these parameters are not specified, recent contributors to the page are suggested.

  • the number of possible assignees displayed is a maximum of 15

  • if the possible assignees specified using the user, group, selectedapprover or selectedapprovers exceed the default number of 15 a search is required

Unassigning and reassigning reviewers

To reassign or unassign reviewers, return to the assignment search screen by clicking the small "plus" button next to the list of the assignees (see the previous screenshot).

Unassign

  • hover over the listed assignee "check" button

  • click it to remove the assignee

Choose Unassign to confirm.
