DATA CENTER

Overview

Comala Document Control 2 introduces an improved capability - Document Activity. This requires you to upgrade your data in spaces with pages and/or blog posts with an applied Comala workflow.

New spaces created in your data center instance will automatically use document activity data and do not need to undergo any data upgrade

Spaces in your data center instance that have not previously had a Comala workflow applied to any page or blog post will also automatically use document activity when applying a workflow for the first time and will not need to have the data upgraded.

Document Activity Upgrade Console

The Document Activity Upgrade console in global administration enables you to manage the upgrade of your data (and run pre-upgrade checks).

The data upgrade option is only available in Comala Document Control v2.0 and later. This will require Read Only mode in your data center to be enabled during the data upgrade.

Pre-upgrade checks can be completed from Comala Document Control v1.13+ on both Confluence server and data center. We recommend that you update to the latest version of the Comala Document Control app before running the checks to ensure you have the latest set of use cases.

Data upgrade

Once you have completed the pre-upgrade checks you can plan your upgrade activity to take place in

  • a single upgrade window

  • across multiple upgrade windows

You do not need to have all your spaces upgraded at the same time.

The pre-upgrade checks and the upgrade can be run together in sequence for a space using the Document Activity Upgrade console. You do not have to run these separately but if running the upgrade you must enable Read Only Mode for the spaces being upgraded.

After a data upgrade to use Document Activity, the previous Page Activity data will continue to be stored in the previous format for the life of Comala Document Control 2.0+ and a recovery path will be available. This recovery path will NOT include any data changes that occurred after the data upgrade.

Running the data upgrade

After installing the data center-only version of the app, one or more spaces can be upgraded in the document activity upgrade console

  • Confluence data center Read-only mode must be enabled to run the data upgrade

  • choosing the Upgrade button runs data pre-check and upgrade in a single action

The Run Checks option can be selected to run document activity upgrade checks on selected spaces - this option does not require Read-only mode.

Enable Read-only mode

In Confluence global administration, under Administration

  • choose Maintenance

Site banner message is enabled by default when enabling Read-only mode.

Navigate to the Comala app global Upgrade Activity screen

All spaces with workflow events on at least one page or blog post are listed with their current data status - Check not started; Check successful; Upgrade successful; Upgrade unsuccessful; Check unsuccessful.

  • check the checkbox for each space(s) to be upgraded

  • choose Upgrade

The Status column displays a progress bar for the upgrade for each space chosen to be upgraded in the current upgrade action.

On completion of the process, the Status column displays the upgrade status, date and time of upgrade, and duration of the process.

Remember to disable Read-only mode on completing the data upgrade process.

  • new spaces created or later automatically use document activity (and there is no need to run any data upgrade process)

The new space has Upgrade successful status displayed in the Activity Upgrade console on the application of a workflow to a page or blog post in the space.

  • existing spaces with no previous workflow activity automatically use document activity on the application of a workflow to any page in the space. The space is then displayed in the Activity Upgrade console with an Upgrade successful status

The displayed page tools menu option and workflow status byline link to the workflow activity are based on the space data status and not the page data status.

What to do if any pre-upgrade checks or an upgrade fails?

A pre-upgrade check that includes any errors on pages in a space will display the number of pages with an error in the space and a downloadable Support Package file. This can be attached to a Comala support ticket.

The Support Package files linked in the Document Activity Upgrade Console are temporary files. If the Support Package is not found for a space, it may have been removed by the Confluence Clean Temporary Directory job and you will need to re-run the upgrade checks for this space.
