Publish a page on transition to a Comala workflow final state

Overview

Comala Publishing integration with the Comala Document Management supports publishing a page from a source draft space by transitioning the content to the final state in an applied Comala workflow.

In the cloud site, you need the both of the following apps installed

You must have

  • configured a target space for the published pages in the space settings publishing dashboard of the source space

  • an active Comala workflow applied to a page

    • the applied workflow must include a final state

  • view and edit permission for both the draft space and the target space for publishing

The integration also supports the publishing of pages in any state by adding a workflow trigger event to a workflow to action publishing of the page

The publish trigger option is only available when using the app with Comala Document Management by editing a workflow to add the workflow trigger markup.

Publish a page

Publishing a page occurs on a transition of the workflow on the page to the final state (the final approved state) in the workflow.

Only one state in a workflow is set as the final state.

For example, a new page created in the source space, and not yet published

  • draft workflow state Review

  • publishing status NEW

Approving the page using the workflow popup

  • transitions the applied workflow to the final state (in our example, the Approved state)

  • publishes the page to the target public space

  • sets the Comala Publishing status to Synced

A page refresh may be required to update the publishing byline. The progress of the publishing action is also displayed in the publishing popup.

On successful publishing

  • the publishing status update is Synced

  • publishing popup displays details of the last sync

  • an on-screen message also confirms the page is published to the target space

To maintain approval and publishing integrity, the space administrator should disable the Comala Publishing standalone publishing option in the app space settings. If this option is enabled, an editor can publish a page in any state using the Comala Publishing popup on the page.

Where possible, the publishing of pages to the target published space maintains the hierarchy of the source space.

If the page is the first to be published in the target space, it is copied to the root of the target space.

An on-screen message in the draft space warns the user that the current page has been copied to the root of the target space.

A Comala Document Management workflow is applied to pages and blog posts, however, Comala Publishing only publishes pages. A blog post with a Comala workflow applied is ignored when using the Comala Publishing app.
