On this page, you’ll learn how to set up automatic, customizable signatures with templates. Using Canned Responses, you can:

  • Share a global signature for all users in all projects

  • Define a per-project signature that can be used by all users in a given project

  • Create a personal signature including a multi-level signature with dynamic data from a project or a global level

How to add signatures

  1. Click Apps > Canned Responses on the top Jira navigation bar or directly from the left-side panel within the project.

  2. Click Signatures.

  3. Select the level you want to set the signature for (Personal, Project, or Global).

  4. Select or create a template that will be used as a signature.

Signature will be automatically applied to your responses on the Issue View screen.

Due to Jira Cloud limitations, signatures can be automatically added only on the new Transition screen. If you use the old Transition screen, you should select the signature as a regular template.

Personal

  • Use default signature - the value will be inherited from the Project signature if any.

  • Use personal signature - select or create a new template as your personal signature. This will override the Project signature if any.

  • Disable signature - no signature will be applied for this particular user. This will override the Project signature if any.

Project

These settings require global or project Jira Admin permissions.

  • Use default signature - the value will be inherited from the Global signature if any.

  • Use project signature - select or create a new template that will be added as a signature for issues within this project.

  • Disable signature - no signature will be applied within this project.

The Project signature will override the Global signature (if there is one), but it can be overridden by the Personal signature (if there is one).

Global

These settings require global Jira Admin permissions.

  • Use global signature - select or create a new template that will be added as a signature for all users and projects unless overridden on lower level.

For all setting levels, you can restrict the signature to only "Reply to customer" in Jira Service Management. In that case, it will be used only in Jira Service Management projects for public comments.

Multi-level signature

All signatures (Personal, Project, or Global) can be customized to include the value from other signatures by using special dynamic variables.

$personalSignatureData$

  • This can be used in shared templates for Global or per-project signatures.

  • Every user can configure the content under the “Your shared data” section in the Personal signature when “Use default signature” is enabled.

  • If user does not provide their data, the variable will default to their Jira display name.

  • This can be used in shared templates for Global or per-project signatures.

  • If user does not provide their data, the variable will default to their Jira display name.

$projectSignatureData$

  • This can be used in templates for global or personal signatures.

  • Project admins can provide project-specific information, like the support department name, dedicated phone number, etc. under the “Shared project data” section in the Project signature when “Use default signature” is enabled.

  • If no custom content is provided, the variable will default to the project name.

$globalSignature$

  • This can be used in templates for personal or project signatures to include content from the global signature template.

  • A global signature can be used to store generic information, e.g., the company’s name, legal notes.
