Add a Comala Document Control workflow to content across a space
Overview
A Comala Document Control workflow can be added across all documents in a space.
The workflow applied to all content in a space is the space workflow. The space workflow is enabled and configured on a space-by-space basis in the space settings Comala Document Control dashboard.
As only one workflow can be active on a single document at any one time adding a workflow across the space will override any page workflow added to an individual document
A user with administrator permission can add a workflow across all content in a space by choosing to
If there is an active space workflow you can change or disable the space workflow in the space tools Document Control dashboard.
Add a space workflow using the workflow byline breadcrumb
On a page or blog post
choose the Add Workflow breadcrumb in the content sub-title
choose the Add Workflow to this Space button in the popup
The Add Workflow to this Space is only displayed to users with admin permission for the space.
This opens the space settings Comala Document Control dashboard.
Enable the current space workflow using the tick slider.
The enabled workflow will be added and applied to all content in the current space.
the workflow state for all the pages and blog posts in the space can be set by using the Initialize states dropdown menu
remove all the previous workflow events and actions on the documents in the space using the Clear Document Activity option
configure the workflow to remove all page-level user restrictions when the page/blog post moves to the workflow final state
The current space workflow can change by using the Manage Workflows button to open the workflow picker and select one of the other two workflows.
Add a space workflow using the page tools menu option
On a page or blog post
choose the Add Page Workflow option in the page tools menu
select the right-hand option to apply the workflow to all the pages in the space.
choose Next
This opens the space settings Comala Document Control dashboard.
Use the slider to enable the current workflow (Basic Approval Workflow) or if required change the current space workflow.
choose Manage Workflows to open the workflow picker
select the workflow to be applied
choose Apply
After changing the space workflow, you may need to enable the new space workflow using the slider to apply the workflow to your space content.
Add a workflow to all content in the space using space tools
Open the space settings Document Management dashboard and enable the current space workflow using the tick slider.
The enabled space workflow is automatically applied to all the documents in the space.
