Basic Approval workflow

If you choose to add and apply the Basic Approval workflow, a document can be in one of the following three states

  • Review - while the page is awaiting review

  • Approved - when the page has been approved

  • Rejected - when the page is rejected

Each time the document is edited the in the Approved or Rejected state the workflow will be reset back to the Review state (the updated transition).

Adding or removing a label or attachment does not action the updated transition when the content is in either the Approved or Rejected state. This transition only occurs if the content is edited and published (changing the Confluence page version).

Review state

The Review state has a content review.


Approved state

The Approved state is defined as the final (or published) state in the workflow.

The final state can be used with the Comala Publishing for Cloud app to publish and sync page content to another space in the same cloud site.

Rejected state

The Rejected state also has a content review

Adding assignees to an approval

You can assign people to review a document, together with a note.

If you assign multiple people to review a document each person will need to give their approval before the document becomes approved.

Navigating between versions

When an approved document has been edited, it transitions to the Review state.

In this moment, there are two versions or views of the same document

  • the previously approved version of the document - the document in the state Approved

  • and the document with the latest modification - the document in the Review state

If we are in the Review state, we can always navigate to the document previously approved version, with the View approved link.

In the Approved state we can always navigate to the current content that is awaiting review with the View pending approval link.

The Approved (Compare versions) link will display details of the current version of the content.
