In a Confluence Cloud site with Comala Document Management installed you’ll find an onboarding feature with an interactive demonstration video, links to use cases, example workflows, and much more.

Onboarding

The onboarding options include

Access the onboarding screen

Open the onboarding screen using either

  • the Confluence sidebar menu under APPS

  • the Confluence top menu under Apps

Choose an option in the onboarding screen to explore the app or apply an example workflow.

We are gradually rolling out to customer Confluence sites the Onboarding screen options to apply the onboarding workflows. The example workflows will be available in the app across all Confluence sites by 31 OCT 2024 .

Get Started

As a space administrator, use the Get Started option to quickly apply a workflow to all the content in a selected space.

Choosing the Get Started option searches for the spaces with space administrator permission for the current user.

Opening Onboarding from the Confluence sidebar menu under APPS does not allow you to select a space. The space defaults to the current space and displays a dialog box with options to apply a workflow.

In the Select a Space dialog box, the Space dropdown menu options are populated with spaces where the current user has space administrator permissions.

Use the dropdown menu to select a space to apply a Comala Document Management workflow to all the pages and blog posts in the space.

Choose Configure a workflow to open the Workflow application dialog box.

The Onboarding Workflow application dialog box includes an option to apply an example onboarding workflow or navigate to the space settings to apply an existing workflow or create and apply a new workflow

Choose an option for the application of a workflow:

Get Started - Quick Approval Workflow - Apply this workflow

The left-hand option applies a basic example workflow to add to all pages in the space.

  • choose Apply this workflow

In the selected space, the Get Started Quick Approval workflow is added as an active workflow in the document management dashboard.

This basic workflow is specifically designed for trial users and provides a simplified yet effective introduction to Comala Document Management.

It helps new users quickly understand the basics of content approval and document management, ensuring that documents are efficiently reviewed and approved before being made publicly available

The workflow has the following three workflow states:

  • Draft

  • Review

  • Approved

Approved documents are automatically published to a target space if the Appfire Comala Publishing app is installed and configured.

I want something else - Go to space settings.

The right-hand I want something else option lets you select an existing workflow or create a custom workflow in the document management dashboard to add to all the pages in the selected space

  • choose the Go to space settings option

The space document management dashboard lists the workflows available in the selected space.

All spaces include three workflows bundled with the app. These cannot be overwritten or removed. A space administrator can create additional workflows - these are custom workflows.

The following message is displayed if the current user doesn't have administrator permission for a space in the Confluence site.

The following message is displayed if the space already has an active workflow.

Choose the Go to space settings to make the existing workflow inactive in the space or choose another space to add and apply the onboarding workflow.

The onboarding option to add the Get Started workflow will be available in all Confluence Cloud sites by the end of OCT 2024.

Choose Apply this workflow in a use case to display a dialog box.

The Workflow application dialog box displays options to

  • apply a workflow for the use case

  • go to the space settings and

    • apply an existing workflow in the space

    • create and apply a new workflow

Use case information and an outline of the example workflows are available on each use case page:

A user must have space administrator permission in the selected space to apply the example workflow

The onboarding option to add the use case example workflows will be available in all Confluence Cloud sites by the end of OCT 2024.
