Fields tab

Introduction

Under the Fields tab, you can map BigPicture item columns with selected columns in connected platforms. For example, the end date of items in BigPicture can reflect the due date of monday.com items. General mapping affects all items unless you add custom mapping for specific boards.

Additional task settings

Auto recalculation based on the assignee's working days

When the Calculate tasks automatically based on assignee's working days toggle switch is on, and a task is assigned to an individual resource, its period is always automatically calculated based on the assignee's working days (the global holiday plan is ignored).

When the toggle is switched on, re-scheduling is also triggered when absences are added or removed for a person assign to the task. This rule applies to tasks that:

  • are in Not Started or In Progress status

  • are not in Manual or Locked scheduling mode

  • are not parent tasks for Auto bottom-up scheduling mode.

By default, the Calculate tasks automatically based on assignee's working days toggle switch is ON. You can disable it at any time (App Admin access required).

The toggle switch is set globally and cannot be adjusted per board.

How the mechanism works

The scheduling mechanism performs the following:

  • Checks the assignee's working days (individual resource) that allow the assignee to complete the task based on:

    • Resource's holiday, workload, and absence plans

    • Task’s start date

    • Task duration

  • Calculates a task's start date. If the start date is a non-working day, the task will be updated to start on the earliest possible working day after the start date.

  • Calculates the task's end date and checks consecutively the assignee's working days that fit the task duration until the task can be fully completed.

Example scenario:

  • Assignee’s working days: Monday to Thursday

  • Task duration: 5 working days

  • Task start date: Monday (May 6)

  • The Calculate tasks automatically based on assignee's working days toggle switch is ON

When assigning a task to that assignee, the scheduling mechanism checks the assignee’s working days and updates the task’s period.

Result:

  • The task is scheduled from Monday (May 6) to Monday (May 13), skipping Friday, Saturday, and Sunday because the assignee works from Monday to Thursday.

Limitations

No working days in the future

If a correct task period cannot be determined because the assignee has no working days in the future, the task is NOT rescheduled. If warnings are enabled, the task will be marked with a red frame.

New assignee

When you change the task's assignee, it might cause automatic rescheduling. This will happen if the new assignee's schedule is different from the previous one. The only exception to this rule is when a task is in the Locked mode, as its position is NOT recalculated.
