Scenario

What happens to my reviewer assignments for an approval if I remove a Page Workflow and add a new one to a document?

Answer

When you remove an existing Page Workflow and add a new one to a document, the following happens:

If the new workflow on the page

  • has the same workflow states as the old one

  • and the workflow events and actions history (document activity) have been retained

The document is automatically moved to the current state of the page from the old workflow.

However, if there was an ongoing approval process on the page before changing to the new workflow

  • assigned reviewers do not change unless the page undergoes a transition into the approval state

  • the workflow transition updates the reviewers with new user values added by the new workflow

Example

In the following example, the user ‘Ashley’ is automatically added as an approver by the workflow on the transition to the Review state.

Now, If the already applied workflow is modified with the addition of another reviewer for the approval, the page needs to be updated for the approval user to change.
