To display the approval visual flow diagram and description, under the Actions column for the approval workflow
Enable and apply the approval workflow for all the pages and blog posts in a space
To enable the Basic Approval Workflow for the space
The slider turns blue and the approval workflow is enabled for the space.
The Remove Restrictions option is also now available. When enabled, page-level Confluence view and edit restrictions are removed on the transition to the approval final state.
The enabled space approval workflow takes priority over any existing approval workflow applied individually to a page by an editor.
Utilities
Workflow utilities for the space are accessed through the dashboard ellipsis menu (top right of the dashboard).
The following options are disabled (greyed out) unless the workflow is enabled
Initialize states
Clear Document Activity
Reindex workflow
The option to Reindex workflows of imported spaces should be used whenever a space is imported/migrated from another cloud site or cloud space.
This re-enables approvals in a migrated or imported space from another cloud site. This action cannot be undone.
Comala Document Approval workflows may not work on the added pages after the import/migration has been completed if the imported space is not reindexed. The document activity for some pages may display the approval state as 'not initialized'.
Document Activity is linked to original users and is not transferred with the migration.
Clear Document Activity
Document Activity clears the approval workflow history for all the pages and blog posts in your space that currently has, or previously had the approval workflow applied.
This option is only available when the approval workflow is enabled in the approval dashboard.
Initialize states
The Initialize states option is used to set all pages and blog posts to be in a chosen state of the applied approval workflow.
This option is only available when the approval workflow is enabled in the approval dashboard.
From the State dropdown menu
This option only sets the state for each page with the applied approval workflow but has no workflow activity or events.
To override the state for all pages and blog posts including those that have applied approval activity
Choose Initialize.
Settings Remove Restrictions
When the approval workflow is active in the space dashboard (enabled), the space administrator can enable the option for the approval workflow to remove any page-level Confluence view and edit permission restrictions form the page on the approval workflow transition to the final state, Approved.
To set Remove Restrictions
The slider turns blue.
Page-level restrictions are removed from a page in the space on the applied approval transition to the final state.
If the approval workflow is made inactive, making the approval workflow active again automatically retains the previous configuration setting for Remove Restrictions.
