This guide explains how to set up email notifications for assets whose warranties are about to expire. We'll use the example of "License" assets with a "Subscription end" date attribute. You'll receive notifications 2 days before the licenses expire (this timeframe can be adjusted in real-world scenarios).

Steps

1. Create a dynamic filter

License Asset Type has the following example called "Confluence Server License". We are only interested in the "Subscription end" date attribute.

  1. Go to Asset Navigator.

  2. Select the Subscription end date attribute from the More fields dropdown.

  3. In the popup window, choose Range and Relative options.

  4. Enter 2d in the End field. This sets the filter to find subscriptions ending within 2 days of the search execution date (dynamic value).

  5. Leave the Start field empty to capture all past records.

  6. Add License to the Asset type filter to target only licenses.

Now, our filters will look like this:

2. Save the filter

  1. Click Save as and give it a descriptive name, like Subscription ending in 2 days.


3. Subscribe to the asset filter

  1. Click the Details button for your saved filter.

  2. Click Subscribe.

4. Configure notifications

  1. Select Recipient groups.

Members of the shared groups will only receive the assets matching the Browse Asset permission configuration.

  1. Choose a schedule (for example, daily).

  2. Click Save.

That’s it! The subscription will run at the scheduled times and send a list of matching assets to the designated recipients.

You can access and manage your asset filters and subscriptions under the Filters tab.
