Resolving Greyed-Out App Admin Access in BigGantt Cloud for Jira Users

This article documents a resolved support case where a customer was unable to add a user as an App Admin in BigGantt Cloud because the user appeared greyed out with a checkmark in the admin list.

Outcome: The issue was resolved by explaining that the greyed-out checkmark indicates the user already has App Admin access (inherited from Jira Admin role or global permissions toggle).

Issue summary

A customer using BigGantt on Jira Cloud wanted to add a specific user (Nick Boeing) as an App Admin. When navigating to the Security settings, the user already appeared with a checkmark but was greyed out, causing confusion about whether the user actually had admin access.

Symptoms observed

  • User appeared in the App Admin list with a checkmark and greyed-out appearance.

  • Customer was unable to modify the user's admin status.

  • Customer was unsure if the user actually had full admin access.

Root cause

The greyed-out checkmark indicates that the user already has App Admin access, typically inherited through one of two mechanisms:

  1. Jira Admin inheritance — Jira Admins are automatically granted the App Admin role in BigGantt. Their entry appears greyed out because the permission is inherited from Jira and cannot be modified within BigGantt.

  2. "Permissions for everyone" toggle — When this toggle is enabled (Administration > Security), every logged-in user automatically has admin-level access. Individual role assignments are disabled and appear greyed out.

Resolution

The customer was informed that Nick Boeing already had full administrative access to BigGantt. No further action was needed. The customer confirmed they would explore the tool further and closed the ticket.

How to troubleshoot similar cases

  1. Check for greyed-out checkmark — This means the user already has admin access.

  2. Identify the source of inheritance:

    • Is the user a Jira Admin? → Permission is inherited automatically.

    • Is the "Permissions for everyone" toggle ON? → All users have admin access.

  3. Verify access directly — Ask the user to open BigGantt and confirm they can access all features.

  4. If access is still restricted — Request HAR file and Console logs for investigation.

Steps to add an App Admin in BigGantt Cloud

  1. Open BigGantt.

  2. Click the App settings (wrench icon) on the right side.

  3. Select Security from the dropdown.

  4. On the Administration > Security page, expand the App Admin section.

  5. Under Users, search for the user and select them.

The role is assigned immediately — no confirmation button is needed.

Prerequisites:

  • Only Jira Admins or existing App Admins can grant the App Admin role.

  • If the "Permissions for everyone" toggle is ON, individual role assignment is disabled.
