Swimlane filters (Resources module)

Swimlane filters - Resources module (old navigation)

All the swimlanes in the Resources module, that is, Individuals, Teams, Projects, and Skills, can be grouped on two levels and filtered.

Swimlanes filters are available only in the new view of the Resources module.

Open swimlane filters

Click the Swimlane filters button next to the search bar in the resources list section to open the filtering options. The blue counter next to the View filters sums up the number of all the filtering options currently in use.

  • Swimlane filters remain active until they are cleared. That means that when you apply swimlane filters in box A and switch to box B, this filter will be still active when you switch back to box A.

  • Swimlane filters, like custom and quick filters, work when the swimlanes are grouped.

Filter swimlanes by

You can filter each swimlane individually by:

  • Individuals

  • Teams

  • Projects

  • Skills

  • Workload and capacity

In addition, you can Hide unassigned swimlanes and Hide swimlanes with no tasks.

Individuals

You can filter by a single person or several individuals to see only their workload, capacity, remaining capacity, and assigned tasks in a selected timeframe.

Click the dropdown and check the resources you want to display. If any of the resources in the current box are archived, check the Hide archived individuals option to remove those resources from the dropdown.

The blue counter next to the Individuals filter shows the total number of filters (selected individuals plus the “Hide archived individuals” option—if checked).

The dropdown comes with a search bar, and Select all and Deselect all options.

Teams

Click the dropdown and check a team or teams whose workload, capacity, remaining capacity, and assigned tasks you want to display.

Projects

Filter the parent box to display only a project or projects you are interested in. Click the dropdown and check a box or boxes whose workload, capacity, and assigned tasks you want to display.

You can further narrow down the view by hiding boxes with specific statuses:

  • Open

  • In progress

  • Closed boxes

For example, if you want to see only the Open boxes, check the Hide in progress boxes and Hide closed boxes options. And then, select the boxes from the dropdown.

The Projects filter remains active even when the current box does not have any sub-boxes. In such a case, the dropdown with boxes is empty.

Skills

Filter the swimlanes by single or several skills to see only their workload, capacity, remaining capacity, and assigned tasks in a selected timeframe.

Workload and capacity

This filter lets you search for individuals, teams, projects, and/or skills whose workload, capacity, and remaining capacity match the threshold criteria.

The Workload and capacity filter is useful when you want to narrow down the view to see only the swimlanes with underallocation so that you know to whom or which skills you can assign more work.

Likewise, you can filter those swimlanes whose allocation exceeds a specific capacity threshold. For example, you can check which teams are at or above 80% of their capacity.

You can set the workload, capacity, and/or remaining capacity to be

  • = equal

  • ≤ less or equal

  • ≥ greater or equal

  • < less

  • > greater

than a specific value (for example, 80) expressed in the

  • man-days

  • story points

  • percent

  • hours

unit.

The unit of the value must be the same as the one set in the Effort mode settings.

Clear all filters

To disable swimlane filters:

  • Click off the yellow dot at the top of the Swimlane filter button to clear all active filters

  • Click the Clear All link to clear all active filters

  • Click the Deselect all option on the dropdown for each swimlane filter to clear filters one by one
