About the Scope module

The Scope module is a customizable task list. It lets you freely arrange columns, switch between views, and show aggregated values. Double-click on a column's edge to adjust its width to the longest record in the current view.

You can also edit task details inline and export the view for reporting.

The module's key features are the multi-level hierarchies, quick filters, and advanced aggregation.

Add task (+)

Use this option to:

Add the following features to all tasks within the box scope:

  • Organize tasks - changes the order of the tasks in all the users' views in an ascending (A-Z) or descending way (Z-A), based on the fields added as columns in the current column view.

  • Scheduling mode - enables auto-scheduling or manual planning.

  • Baselines - creates and displays schedule baselines under your tasks.

  • Group tasks - groups tasks by one or multiple active columns and counts them in each group.

  • Resynchronization - triggers an incremental sync of the box (requires Box Admin or Box Editor security role).

Sort by

Sort your task tree in an ascending (A-Z) or descending (Z-A) order based on the fields added as columns in the current column view. Unlike the Organize tasks option, sorting does not affect other users' views.

Export

Export data to a specified file type:

  • XLSX

  • CSV

  • PDF image

Manual task structure

You can manually change the position of your tasks. The following options are available from the top menu and by right-clicking on a task.

  • Move to top

  • Move to bottom

  • Move up

  • Move down

  • Outdent

  • Indent

Filters

Mark your favorite filters and filter the list of tasks to see only the items that you are interested in. There are two types of filters:

  • Quick Filters - Narrows down the visible scope based on JQL statements.

  • Date range - Narrows down the visible scope to the defined period.

  • Custom - Combine two values from the dropdowns.

Search box

The search box works in two modes:

  • TXT - Simple text search based on the Summary field.

  • JQL - Advanced search using JQL with additional JQL commands added by the App.

View

Change the view options:

  • Layout:

    • Compact

    • Normal

    • Wide

  • WBS Lines:

    • Horizontal

    • Vertical

Column views

Add or remove the columns in the current view, then save the changes as a new view.

Edit task

Right-click a task to prompt a context menu letting you edit, reposition, and delete a task.

Delete task

To delete a task, right-click on it and select Delete from the context menu. Confirm action with Delete

Alternatively, click a task and then click the bin icon. To confirm, click Delete again.

Remember that once you delete a task in BigPicture, it will also be removed from Jira.

Live sync

Jira admins can enable the Live sync feature. It lets you see data changes without refreshing a page. With live sync, your data will be instantly updated when users update their tasks.

Displays task details similarly to the Jira issue details page.

Permission role-based constraints

Box viewers

  • Are not permitted to change the task structure (they cannot indent/outdent tasks or use the drag-and-drop functionality to move the tasks within the structure).

  • Are not permitted to delete tasks (the Delete button is unavailable). 

Scope module in portfolio boxes

Tasks

Under the Tasks menu, you’ll find the following features:

The import and export features are available with the BigTemplate App from the Atlassian Marketplace.

View

Under the View menu, you’ll find the following features:

  • Expand by levels:

    • Expand n-th level (you can expand the task structure to any level. The number of available levels depends on the number of nestings present in the structure)

    • Expand all (expands the entire task structure)

    • Collapse all (collapses the entire task structure)

Alternatively, click More actions () on the Summary column (or the column set as the tree root in the column view configuration) and mouse over the Expand / collapse levels option.

  • Task structure - redirects to the Task structure page in the box configuration

  • Group tasks (groups tasks by one or multiple columns present in the current column view)

  • Sort

    • This option sorts data locally (only your view is affected), and the action can be reversed. The sorting criteria depend on the active columns in the current column view.

      Alternatively, you can click the column header to sort data on it A-Z/ Z-A.

  • Default task order A-Z/ Z-A (applies a global and irreversible work item sort in your view and in the view of other users)

    • Restore Jira tasks order

  • Layout (customize the column view layout)

    • Row height

      • Compact

      • Regular

      • Wide

    • Grid line (turn on/ turn off the grid lines on the Gantt timeline)

      • Horizontal

      • Vertical

    • WBS lines (turn on/ turn off the grid lines in the column view)

      • Horizontal

      • Vertical

Export

Remember that once you delete a work item in BigPicture, it will also be removed from Jira.
