Accessing the Delegated Project Admin screen

Once a user has been given permission to a Delegated Administration component, a Delegated Project Admin" link will be visible when viewing the project.

For JIRA 6.2-6.4 instead of an icon in the sidebar, a link in the project tab "Delegated Project Admin" is shown.

Using the Delegated Project Admin screen

The Delegated Project Admin screen shows each type of scheme that you have been given the ability to administer, which may include any or all of the following:

  1. Issue Type Schemes
  2. Permission Schemes
  3. Field Configuration Schemes
  4. Workflow Schemes
  5. Notification Schemes
  6. Issue Type Screen Schemes

The buttons shown next to each scheme depends on the capability configured by a JIRA Administrator as well as what has already occurred. For instance, the Edit button doesn't appear until someone has clicked Modify for a given scheme and the Revert button doesn't appear until some has clicked Edit for a given scheme. These buttons may include:

  • Select - which provides the ability to change the project to use a different existing scheme of that type.
  • Modify - which provides the ability to make a local copy of the existing scheme used by the project so you or another delegated project administrator can then edit it to suit  your needs.
  • Edit - which provides the ability to edit a local copy of a scheme (created previously by clicking Modify) so it can be customized to suit your needs.
  • Revert - which provides to revert a local copy of a scheme (created previously by clicking Modify) so that the previous scheme used by the project (prior to the local copy being created) is once again associated with the project.
  • History - which provides the ability to see an audit trail of all scheme changes for the project, with the ability to rollback (i.e. undo) most scheme changes.

 

Currently only Issue Type, Permission and Notification Schemes supports "Modify" (allowing users to maintain their own local version of a scheme). Support for additional types of schemes will be added in the future.

Select button

Clicking Select displays a popup similar to what is shown below:

  • The title explains which type of scheme is being processed.
  • The description explains the ramifications of the change. It may include (as shown above) a recommendation about performing this change only during periods when your JIRA instance isn't heavily used, so you avoid any performance slowdowns due to the nature of what JIRA must do to change the project to a new scheme.
  • The current scheme tells you the scheme currently associated with the project.
  • The buttons allow you to proceed with the change in scheme (by clicking the "I'm sure" button) or to cancel the change (by clicking the Cancel button).

If you click the "I'm sure" button, another screen will be displayed similar to what is shown below:

On this screen:

  • Click View to view an existing scheme to help you select the appropriate one to associate with the project. 
  • Click Cancel to dismiss the screen without making changes.
  • Click Select once you've made your choice to associate that new scheme with the project. 

If you click Select, you will see a screen that confirms the change was made:

Workflow Schemes

For Workflow Schemes, the migration will require the user to select the appropriate status in the new workflow to which to migrate each status (from the old workflow) found on existing issues in the project.

 

Modify button

Clicking Modify displays a popup similar to what is shown below:

On this screen, supply a name for the copy that will be made of the current scheme. It will be prepopulated with the name indicating the type of scheme (Notification Scheme in this example) and the project name (JIRA8 in this example), but you can change this to another value if you like.

Click Confirm to proceed with making a local copy or Cancel to dismiss the screen without making changes.

If you click Confirm, the popup will be closed and you will notice that that scheme's section on the Delegated Project Admin screen no longer shows the Select, History, and Modify buttons. Instead, the Edit and Revert buttons are shown.

Click the Edit button to open your local copy of the scheme so that you can edit it and customize it as needed.

Click the Revert button if you want to discard your local copy and have the previous scheme associated with the project once again. A popup window will appear to allow you to confirm you want to proceed with reverting the scheme.

If the local copy of the scheme is not used anywhere else, it will be deleted during the Revert processing. This action cannot be rolled back.

 

History button

Clicking History displays a popup similar to what is shown below:

An entry is shown for each time a different scheme of that type was selected on the Delegated Project Admin screen. In most cases, entries will appear with a Roll back link in the Actions column. Clicking Roll back will cause the scheme to be reassociated with the scheme with which it was previously associated per that entry. You may briefly see a "in progress" popup, then a "Migration completed" popup.

If you click History once again following the Roll back, you will that the roll back itself appears in the audit trail and can be rolled back.

In situations where a scheme is no longer found (perhaps an administrator removed it from the system or, alternatively, it was a scheme that was locally maintained and then reverted and thus deleted), this popup will show "Unknown scheme"  in the Change from or Change to columns.
