Overview

Approval reviewers in a custom workflow state are managed by editing the approval using the workflow builder visual editor in the space settings document management dashboard.

Reviewers for the approval are managed by choosing one of the check buttons in the approval editor.

Anyone can approve (no restrictions) approval in workflow builder

An approval in a state can have anyone review using the workflow popup. No reviewer is assigned.

The user reviewing the document requires Confluence view and edit permission for the page.

To set an approval as unrestricted (Anyone can approve) in workflow builder

  • open workflow builder visual editor

  • open the workflow state editor

  • choose Approvals

Open the approval editor by

  • selecting the approval name

Under Reviewers

  • check Anyone can approve (no restrictions)

This is, by default, the Reviewers setting when adding a new approval to a workflow state.

  • choose Apply

  • Save the workflow and Exit the workflow visual builder

On a page, the workflow popup in the workflow state with the approval displays the Approve and Reject buttons.

There is no option to add reviewers.

A single reviewer decision completes the approval and (if configured) transitions the workflow state.

Minimum approvals

When a Minimum approvals value is added, more than one user must undertake the review to complete the approval.

Empty user avatars are displayed in the workflow popup for the Minimum approvals.
