Introduction

We are giving you the tools needed to track and manage your groups in Jira easily. You can find any group and the information about its members, security, notifications, and JQL usage.

You can understand how each group is used, which projects are accessible by the group members, which filters and dashboards are shared with this group, and a lot more.

Find groups

To find a group:

  1. On Power Admin's Landing page, select Group from the drop-down, type a group name, and start your search.

  2. On the Search results page, click on the name of a group. You can filter further the groups by usage in projects (use the Projects filter next to the group search field).

  3. Then, the group profile page appears.

Search results

The page with search results shows the following information for each group:

  • Name, global permissions and id of the group - You can search for a group by its name. The group name is the ID of the group.

  • Members - count of the members of the group. You can click on the lozenge and be redirected to Jira's Users page displaying details about the group members.

  • Projects - count of the projects associated with a group. The group is part of the configuration of these projects. When you click on the projects lozenge, you can view a list of all the group's projects.

Using the profile page, you could view all the details about a group and its use.

How does Power Admin for Jira track the group usage?

Power Admin finds all projects associated with a group. The group is part of the configuration of these projects.

Power Admin collects all the permissions, global permission, issue security schemes, events, workflows, agile boards, and filters that use the group. We go through the JQL entries of agile boards and filters and look for references to the group.

The usage information also includes the filters and dashboards a group is accessing and the filters it is subscribed to.

Usage Information

To present a group's complex usage report in an understandable and convenient way, we divided the usage information into the following sections: TotalSecurityNotificationsWorkflows and JQL. There are tooltips on all counters and lozenges in the Summary section.

Summary

The Total section displays count of all the projects a group is configured in. You can click to view a list of the projects.

The Security section displays the count of projects in which the group has access to their issues. You can click to view a list of the projects.

The Notifications section displays the count of projects where group members will be notified of changes in these projects.

The Workflows section displays the count of projects where the group is configured in workflows assigned to these projects.

Details

The Details section of the profile page lists all the permissions, global permission, issue security schemes, events, workflows, agile boards, and filters that use the group. You can then navigate if you want to, to the profile pages of issue security schemes, workflows, and filters.

Agile Boards, global permissions, permissions and events do not have profile pages in Power Admin.

Actions

Export - You can export a group's usage information with the Export button.

Review dependent filters - When you click on the Subscribed to and Accessing filters lozenges in the Total section in the group's profile page, a window opens displaying the filters and their JQL queries. Then you could navigate to each dependent filter's profile page by clicking on its name on the list.

Locations

In Locations, you will find detailed information regarding where and how the groups on your Jira instance are used in agile boards, filters, dashboards, workflows, permissions, and events.

Location details of group usage in global permissions are not available.
